How to Create SEO Reports for Clients

In this knowledgebase article, we’ll show you how to create SEO reports for clients using Rank Math SEO. An SEO report provides a snapshot of a website’s performance in search engines, covering metrics like organic traffic, keyword rankings, and conversions—typically on a monthly or quarterly basis.

It’s your opportunity to show clients how your SEO efforts are turning into real results, like more leads or sales, without overwhelming them with raw data.

Whether you’re an agency or a freelancer, here’s how to get started.

1 Set Up Rank Math SEO

Rank Math can serve as an SEO reporting software for your clients, providing the essential metrics every SEO report should include. But first, you need to install and activate the Rank Math plugin on your client’s site, then go through the setup process.

During setup, make sure to connect the site with your client’s Google Account and configure the Search Console settings. On the same page, link the site to Google Analytics. This step only takes a few minutes, so take your time to do it right.

Once setup is complete, head over to Rank Math SEO → General Settings → Analytics in your WordPress dashboard.

Scroll down to the Email Reports section and enable the Email Reports option, as shown below. This lets your clients receive regular SEO performance updates via email.

After enabling it, you can preview how the email will look by clicking the ‘preview here’ link.

When you activate this option, several other settings will become available. Let’s walk through how to configure them.

2 Customize the SEO Reports

Rank Math includes a white-label SEO reporting feature, which means you can completely brand the reports as your own. Your client will see only your logo, colors, and style, making the reports look fully custom and client-facing.

To unlock this, you’ll need to upgrade to the Business or Agency plan. You can find instructions on how to do that here.

Once that’s done, all customization options become available. For this walkthrough, we’ll use “Precision” as the sample brand name.

2.1 Email Frequency

This option controls how often your clients receive their reports via email. The default is every 30 days, but you can change this based on what works best—every 7 or 15 days. Consider how often your clients want updates or how frequently significant SEO changes happen on their site.

2.2 Report Email Address 

Enter your client’s email address here. If there are multiple people who should receive the report—like a marketing team or stakeholders—just add all their addresses separated by commas. Everyone listed will receive the report at the set frequency.

2.3 Report Email Subject 

Set a subject line that’s clear and recognizable so your clients know exactly what the email contains.

This helps them quickly identify the report in their inbox, especially if they receive multiple reports or emails from you.

Here’s where you upload your brand’s logo to appear at the top of the email report. By default, you’ll see Rank Math’s logo here—just click Add or Upload File to replace it with your own (e.g., Precision’s logo). 

This helps reinforce your branding and makes the report look more professional.

This is the clickable link tied to the logo in the email header. Ideally, link it to your agency’s homepage or client dashboard—wherever you want your client to go for more info or services.

2.6 Report Header Background

Customize the header background color to match your brand’s identity. Just enter a valid CSS color value (hex, RGB, etc.). Swap out the default with your brand’s color to keep everything consistent.

Enable this if your clients want deeper insights than what’s in the email. It adds a link at the bottom of the email that sends them to their full Rank Math SEO → Analytics dashboard inside WordPress.

You can enable it if your client likes digging into data or wants full transparency, or skip it if they just want quick, high-level summaries.

2.8 Report Top Text

Add a short, custom message that appears right below the report title. This could be a warm intro, a summary of the month’s results, or anything you want them to know before diving into the data. 

You can also format it slightly using plain text or basic HTML.

2.9 Include Sections 

Decide which tables or metrics you want to include in the report. You can choose them individually or use the Select/Deselect All button for quick adjustments.

Tailor this based on what’s most important to your client or what services you’re offering.

2.10 Include Only Tracked Keywords

When enabled, the Winning and Losing Keywords sections will only show keywords you’re actively tracking with Rank Math’s Rank Tracker. This keeps the focus on your main KPIs rather than overwhelming the client with irrelevant data.

Just like the top text, you can add a custom message at the bottom of the report. This can be a thank-you note, contact info, or any final thoughts. Use plain text or basic HTML.

2.12 Additional CSS Code

If you want to further customize the look of the email reports, you can add custom CSS here.

Just note that email clients (like Outlook) may not fully support all CSS styles, so results can vary.

After making all the desired changes, click the Save Changes button at the bottom of the page to ensure the modifications are applied. If you prefer to start over, you may use the Reset Options button instead.

Once you’ve customized your white label report, your clients will receive their SEO reports in their emails based on the frequency you selected. 

Please inform your clients to whitelist their site’s domain email address to ensure the email reports are delivered successfully.

If your clients have the Rank Math SEO plugin on their site, they can access the Email Reporting feature. But if they don’t want this, you can follow this guide to prevent your clients from accessing it.
